1. Working hours
The official working hours at Gunav Technologies are from 01:00 PM to 10:00 PM with a lunch break of 30 mins from Monday to Friday with Sunday Fixed Off. If Saturday is working, we will let you know in advance. Gunav Technologies reserves the right to amend or vary the working hours when required. Any change in the working hours shall be made known to employees.
2. Attendance and Punctuality
This corporate policy on attendance and punctuality is formulated in accordance with government standards to ensure the effective functioning of Gunav Technologies and uphold a professional work environment.
(a) Daily Attendance: All employees are required to register their attendance every working day upon arriving at the workplace. Timely and consistent attendance during regular working hours is crucial to the seamless operation of Gunav Technologies' business operations.
(b) Late Arrival and Notification: Recognizing that occasional situations may arise causing delays in reporting to work, it is expected that employees promptly inform their immediate superiors in such cases. It remains the duty of each employee to uphold standards of attendance and punctuality.
(c) Disciplinary Approach: While the onus of maintaining attendance and punctuality rests with the employee, habitual tardiness will be considered a grave breach of discipline. The management reserves the exclusive right to address such situations in a manner it deems appropriate.
(d) Consequences of Late Arrival: For each instance of late entry, a "late mark" will be assigned. Accumulation of three late marks will be considered equivalent to one day of absence. It is crucial to recognize that repeated late arrivals may lead to corrective measures as determined by the management's discretion.
Leave without Approval Policy – Monthly
When a team member takes off from duty without prior leave approval or proper intimation from supervisor under certain unavoidable circumstances, then:
For the First violation 2 Leaves will deduct.
For Second violation 4 Leaves will be deduct and he/she will not get the available bonuses and incentives.
For third violation, 50% of one month’s CTC will be deduct.
For Fourth violation, 75% of one month’s CTC will be deduct and management may ask the employee to resign from the organization and he/she cannot claim any notice or any other benefits from the organization.
On every violation, supervisor need to intimate on mail to the respective team member looping designated HR Personnel. Based on the enquiry any action deemed fit will/would be taken by the management. Deductions would be termed as NCNS.
3. Absence from Office
Any employee who is absent from the office premises or offline during official working hours is required to promptly communicate their whereabouts to their immediate Manager/Supervisor. In cases where the immediate superior is unavailable, notification should be given to a departmental colleague designated for this purpose.
Failure to provide timely notification regarding absence from the office or work during official working hours will result in the absence being categorized as leave.
This policy adheres to government guidelines, fostering a culture of responsibility and clear communication within the workforce of the organization, thereby contributing to streamlined operations and effective teamwork.
4. Work from Home
In case of unavoidable circumstances an employee may work from home if their duties can be satisfactorily performed outside of the employer’s physical office space. Employee must take prior approval from the supervisor and HR for working remotely.
Not all positions are eligible for working remotely. In order to work from home employees must fulfill the following criteria:
Have access to a reliable internet server.
Be competent and capable to perform their duties with minimal supervision.
Possess good organizational and time-management skills.
Carryout the work in an environment that will enable them to fulfill their duties effectively and efficiently; and is not on probation period.
5. Reporting Violations
Every employee has the duty to report any violation of above standards by any other employee. Failure to report a known violation is in itself a violation.
6. Salary Confidentiality
The salary package offered to you is highly confidential & must not be revealed while in employment or thereafter to any individual/agency/organization, by word of mouth or otherwise. Such confidentiality violations would not be entertained and may lead to strict disciplinary action.
7. Information Security
To ensure the security or the preservation of confidentiality, integrity and availability of both vital corporate and customer information, following guidelines should be followed with regard to information.
Do not discuss your project or any other client-related information with anyone.
Do not print/copy any confidential information. This will include, but will not be limited to, proposals, design documents, code, execution plans, test plans and other project artifacts.
Maintain a Clean Desk at your workplace. Ensure no loose papers are lying around.
Report any suspected activity to the Project Manager or HR Department.
Do not tell/share your password with anyone.
Do not write your password down anywhere,which could be easily accessible to anyone other than you.
Make sure your password cannot be easily guessed, choose alphanumeric passwords only.
8. E-mail usage
E-Mail accounts that are sponsored by Gunav Technologies or clients are not allowed to be used for personal purposes.
E-mail should be checked at least once a day.
Addressees and carbon copies (CCs) should be carefully selected.
A professional tone of voice should be used.
Attachments should be avoided when the text can be put in the message itself. Using RTF or HTML format allows copying most office documents into the message itself.
9. Internet Usage
The Company reserves the right to monitor and record Internet usage and file server utilization of all employees. The Company reserves the right to suspend individual user accounts for violation of firm policies.
E-mail and file transfers are to be for business use only by authorized users. Use of another employee's account or access to their personal files without their consent is strictly prohibited. Confidential information is not to be transmitted over the Internet without proper encryption.
The network administrator must approve all downloaded applications before being installed on the network.
Do not download any software i.e. freeware, shareware, etc. from the Internet. These softwares are termed illegal and pirated.
Disruptive behavior such as introducing viruses or intentionally destroying or modifying files on the network is strictly prohibited.
Transmission of harassing, discriminatory or otherwise objectionable E-mail or files (as determined by the recipient) is strictly prohibited. Access to non-business related, obscene or offensive sites is strictly prohibited.
Any personal use of the network for commercial or illegal activity is strictly prohibited.
Transmission of any religious or political messages is strictly prohibited. Game playing is strictly prohibited.
Any violation of the policies will result in loss of access privileges and disciplinary action.
10. Discipline
All rules and regulations of the Company including the HR Policies & Procedures must be complied with at all times the employees are on the Company premises. Employees should keep in mind the following things:
Dress code - Employees shall be suitably dressed in keeping with the Company’s corporate image.
Alcohol - Employees are prohibited from the possession, distribution, sale, purchase or consumption or be under the influence of alcohol, on work premises, regardless of whether such activity takes place within or outside of working hours. This prohibition is also applicable when the Employees are dealing with company property, people or clients even if it is outside of working hours and/or outside the work premises, for example, working on company laptop at employee’s residence, taking calls with company’s clients, etc.
Smoking - Smoking is prohibited inside any of the company offices. However, employees are permitted to smoke outside.
Drug Abuse - No person suspected of Drug abuse will be hired to work for Gunav Technologies. If any employee is suspected to be involved in possession, distribution, sale, purchase or consumption of Drugs then disciplinary action shall be taken against him.
Loss/ Damage of company property - Any loss or damage made to the company property will be deducted from your salary.
Use of company/client name - No employee shall use the name of the Company nor use his/ her title or position in the Company or name of the Company’s client or title/position assigned by any of Company’s clients for his/her profit or for any personal work or contract.
Working hours and company property - Employees must not use working hours or the company’s property for purposes other than the work assigned to them.
Professionalism - Employee must fulfill the functions of the office with integrity as well as professionalism and exercise the powers attached thereto, with due care and diligence.
Confidentiality - Employee must respect the confidentiality of information and use utmost discretion whilst deciding its disclosure or dissemination, ensuring that no personal advantage or detriment to the Company results from the same.
Work in harmony - Employee must make available to, and share information with colleagues when considered expedient in the best interest of the Company;
Respect the company values - Employee must act in a manner that will protect the Company's reputation and must abide by the Company's “Values” and Code of Business Practices. Encourage reporting of behavior, which is contrary to the Company's “Values” and Code of Business Practices and ensure that the person reporting such violation is not aggrieved in any manner.
Follow rules and regulations - Comply, in spirit and in letter, with all applicable laws, rules and regulations, and also honor the philosophy of “good faith”, guided by one's sense of right and wrong;
11. Performance Improvement Plan
Within a period for 3 months, management can ask the employee to resign from the organization with or without any warning or any prior intimation if he/she is not performing up to the mark or not meeting organizations target or involved in any other behavioral issues.
Post Joining: Between 3 months to 6 months
If a team member is not performing up to the mark or not meeting the organizations target then supervisor can issue a PIP (Performance Improvement Plan) for 15 days to that team member and that 15 days will be considered as the notice given by the organization to team member. Post such days of PIP, there will be a review by the supervisor and that review would be mail to the respective team member looping designated HR Personnel. If even after the PIP or such warnings, still no improvement shown in team member then at the sole discretion of the organization, the team can be asked to resign from the organization.
Post Joining: Post 6 months
If a team member is not performing up to the mark or not meeting the organizations target then supervisor can issue a PIP (Performance Improvement Plan) for 30 days to that team member and that 30 days will be considered as the notice given by the organization to team member. Post such days of PIP, there will be a review by the supervisor and that review would be mail to the respective team member looping designated HR Personnel. If even after the PIP or such warnings, still no improvement shown in team member then at the sole discretion of the organization, the team member can be asked to resign from the organization.
Direct Resignation
If any team member is involved in any kind of misbehaving, violation, theft or any other act that gives loss or damage to organization then he/she has to resign immediately from his post and he/she cannot claim any notice or any other benefits or salary from the organization.
12. Acceptable Use Policy
This policy defines the acceptable and responsible use of company information systems, networks, email, internet services, and software. Company resources must be used only for authorized business purposes and in a manner that is ethical, secure, and compliant with applicable laws.
13. Bring Your Own Device (BYOD) Policy
This policy governs the use of personal devices for work-related purposes. It ensures that company and client information accessed through personal devices remains secure and protected.
